    We are currently seeking a highly organized and proactive Administrative Lead to

    manage the non-clinical operations of our practice. This pivotal role will ensure the

    seamless functioning of administrative processes, supporting our clinical team in

    delivering exceptional patient care.


    Your Impact as Administrative Lead:


    Operational Excellence

    ● Manage daily administrative tasks to ensure effective front-office operations.

    ● Oversee patient registration, scheduling, and insurance verification processes.

    ● Enhance administrative workflows to support clinical operations

    ● Act as the main coordinator for all non-clinical activities

    Financial Management

    ● Oversee patient billing and collection processes

    ● Monitor and reconcile daily financial transactions

    ● Identify and resolve insurance claim issues

    ● Track key financial metrics and prepare regular reports

    ● Support budget planning and financial forecasting activities


    Payroll Administration

    ● Manage payroll setup and processing using Gusto payroll platform

    ● Maintain accurate employee profiles, compensation details, and tax information

    in Gusto

    ● Input and verify employee time records, overtime, paid time off, and holiday pay

    ● Set up and manage payroll deductions including benefits, retirement

    contributions, and garnishments

    ● Review and approve payroll runs before processing

    ● Onboard new employees in Gusto system including tax forms and direct deposit

    setup

    ● Address employee payroll inquiries and resolve discrepancies promptly

    ● Ensure accurate maintenance of employee records and payroll data security

    ● Coordinate with Gusto support for system issues or compliance questions


    Team Leadership

    ● Supervise and mentor administrative staff, providing guidance and performance

    feedback

    ● Work closely with the Clinical Lead to develop comprehensive training and

    onboarding processes and materials for new hires

    ● Manage administrative staff schedules to ensure consistent coverage

    ● Ensure adequate coverage when team members call out, leave early, or take

    vacation

    ● Foster our collaborative team environment where all members thrive

    ● Delegate tasks effectively while ensuring accountability

    ● Collaborate closely with the Clinical Lead to align administrative and clinical

    operations


    Resource Management

    ● Maintain an accurate inventory of office supplies and equipment

    ● Implement effective supply management procedures

    ● Coordinate facility maintenance and repairs

    ● Manage vendor relationships and service contracts


    Patient Experience Enhancement

    ● Ensure a welcoming and efficient front-office experience

    ● Address administrative patient concerns promptly and effectively

    ● Coordinate with the Clinical Lead to create a seamless patient journey

    ● Implement strategies to improve patient satisfaction with administrative

    processes


    Compliance Excellence

    ● Maintain compliance with all regulatory requirements and practice policies

    ● Ensure accurate and secure maintenance of patient records

    ● Stay current with healthcare regulations affecting practice operations

    ● Implement and monitor administrative policies and procedures

    ● Ensure payroll compliance through proper use of Gusto platform and adherence

    to company policies


    Your Qualifications:

    ● Proven experience in healthcare administration, preferably in a medical practice setting

    ● Strong understanding of medical office operations and healthcare business

    practices

    ● Excellent time management, organizational, and problem-solving abilities

    ● Exceptional communication and interpersonal skills

    ● Demonstrated ability to lead and motivate a team

    ● Proficiency with practice management systems and electronic health records

    (EHR)

    ● Experience with financial management and reporting

    ● Experience with payroll management and Gusto or similar payroll platforms

    ● Knowledge of payroll processes and employee data management

    ● Ability to remain calm and effective under pressure

    ● High level of discretion and confidentiality when handling sensitive employee

    information


    Preferred Qualifications:

    ● Bachelor's degree in Healthcare Administration, Business Administration, or

    related field

    ● Medical office management certification

    ● Experience in vascular care or specialty medical practice

    ● Experience with Gusto payroll platform specifically

    ● Certified Payroll Professional (CPP) designation or similar certification


    Position Details:

    ● Full-time position

    ● Is both interested and enthusiastic about working full time (up to 5 days per

    week; Mon-Fri for most weeks of the year)

    ● Anticipated shifts may run from as early as 8am to as late as 6:00pm (as business

    needs necessitate)

    ● Schedule aligns with practice operational hours to ensure administrative

    leadership during all business hours

    ● May require flexibility to accommodate special events or projects

    ● Must be available during payroll processing periods and tax filing deadlines

  • MEDICAL OFFICE ASSISTANT - PART-TIME

    We are currently seeking a highly motivated and reliable individual to join us as a Medical Office Assistant. As a Medical Office Assistant, you will play a vital role in supporting our mission by ensuring efficient clinic operations and confidently caring for our patients with leg vein expertise. 


    Responsibilities: 

    ● Manage the practice's daily operations, ensuring efficient workflow and a seamless patient experience. 

    ● Coordinate patient appointments, maintaining optimal coverage and minimizing disruptions in practice operations. 

    ● Room Patients promptly and accurately record vitals and medical information in the electronic medical records (EMR) system. 

    ● Prepare examination rooms, ensuring the availability of necessary equipment and supplies for healthcare providers. 

    ● Assist with medical procedures and treatments, supporting healthcare providers as required. 

    ● Maintain a clean and organized clinic environment, including stocking supplies, sterilizing instruments, and managing proper medical waste disposal. 

    ● Exercise sound judgment in handling challenging patient situations, promptly escalating concerns to the supervisor. 

    ● Collaborate with the team to ensure effective communication and coordination of patient care activities. 

    ● Contribute to the training and orientation of new medical office assistants, sharing leg vein knowledge and expertise. 

    ● Embrace a learning mindset and actively seek opportunities for growth and professional development. 


    Qualifications:

    ● A high school diploma or equivalent is required. 

    ● Minimum of 2 years of experience in a medical office setting is preferred, demonstrating proficiency in office routines and patient care processes. 

    ● Bilingual proficiency in English and Spanish is preferred, enabling effective communication with our patient community. 

    ● Knowledge of medical terminology and experience working with electronic medical record (EMR) systems. 

    ● Strong communication and organizational skills to interact effectively with patients, providers, and the healthcare team. 

    ● Ability to thrive in a fast-paced environment, managing multiple tasks and prioritizing effectively.

  • PART-TIME BOOKKEEPER (MEDICAL PRACTICE & PERSONAL)

    We are currently seeking a detail-oriented and reliable Part-time Bookkeeper to optimize our financial operations. 


    This role will have a dual focus:

    1. To coordinate & optimize bookkeeping in our medical practice
    2. To coordinate & optimize bookkeeping of the owner’s personal accounts

    Your Impact as Medical Practice Bookkeeper:


    Financial Excellence

    • Manage day-to-day bookkeeping operations of the practice, including accounts payable and banking activities
    • Accurately enter, categorize, and reconcile transactions within our accounting software platform (QuickBooks)
    • Ensure that all bills, invoices, and refunds are paid in a timely fashion
    • Prepare and transmit monthly financial reports (bank statements, retail sales, and refund reports)
    • Present and review expense reports with the practice owner biweekly

    Revenue Cycle Support

    • Assist with accounts receivable processing by providing daily documentation of received bank payments (checks & EFT bank deposits) to our billing team
    • Partner with the practice Authorization Specialist to manage the refund binder and process patient and insurance refund checks
    • Take cash deposits to the bank

    Administrative Excellence

    • Upload all invoices, packing slips and receipts to our accounting software (QuickBooks)
    • Verify that purchased items have been received prior to payment processing
    • Maintain updated record of vendors within the vendor binder & spreadsheet
    • Ensure incoming tax documents (1098 forms) are appropriately archived
    • Vendor & Resource Management
    • Manage relationships with external vendors and service providers such as auditors, tax advisors, and banking institutions
    • Manage Amazon account and ordering cadence for office supplies, following the outlined budget
    • Coordinate supply procurement to support seamless clinic operations

    Team Collaboration

    • Maintain biweekly meeting cadence with the practice owner
    • Partner with leadership to manage staff reimbursements submitted through Gusto
    • Partner with leadership to ensure adequate funds for biweekly payroll
    • Support the team's commitment to operational efficiency and excellence

    Your Qualifications:

    • Proficiency with QuickBooks accounting software
    • Experience in healthcare financial operations preferred
    • Exceptional attention to detail with a commitment to going above and beyond in accuracy
    • Outstanding organizational skills with the ability to streamline operations and continuously improve processes
    • Ability to maintain the highest level of confidentiality and handle sensitive financial information with complete integrity
    • Strong communication skills that foster respectful team collaboration and effective vendor relationships
    • Knowledge of human resources and payroll coordination preferred
    • Honest, trustworthy approach to all financial responsibilities
